The Number Identification screen allows a specific number to be identified with a specific description. TES keeps a unique list of all the numbers that have been called and who the last person was that was involved with the call. Every time a new person is involved the list is updated with the new person's name.

If an user logs in and views the Number Identification screen, they will see all the numbers where their name is listed as the last person involved.

How to disable the emails for certain users:
Remove the tick in the mail column on the users screen
or
Remove the email address for the user on the Users screen.

Scenario 1.
First Person transfers the calls and doesn’t identify their calls immediately.
Person A receives a call from 0215551234, then transfers to Person B. There will be an entry in TES that shows Person A was the last person to deal with 0215551234. An email will be sent to Person A to inform them to identify the number. Now Person B completes the call that was transferred them, TES will change the last person that was involved with the number to Person B at this point. At this point Person B will receive an email that they have to identify the number.

If Person A now goes to the screen to try and identify the number, it is no longer listed on their screen. If Person B goes to their screen, they will see the number on their screen.

Scenario 2.
First person transfers call and identifies calls immediately.
Person A receives a call from 0215551234 and then transfer the call to Person B. Person A receives a email to identify the call and immediately logs in and identifies the number. When Person B completes the call, the number is already Identified and there is no email sent to Person B.


Identified Numbers.
  • Once a number has been flagged as verified on the Number Identification screen, it will never appear on anyone's Number Identification list again. There will be no emails to anyone about it again.
  • Business Numbers will only appear in the Phonebook.
  • Private Numbers will appear in the Phonebook as a Private number as well as on your My Private Numbers screen.
  • If you add a new Number on the My Private Numbers page, the number will be added to the Phonebook and set to Private as well.
  • If you delete a number from the My Private Numbers page, the number will still be on the Phonebook.
  • If you delete a number from the Phonebook, it will also be deleted from everyone's My Private Numbers page.The next time the number is used, it will be added to the Number Identification screen again and the normal Number Identification processes will be followed.

Remember that there is a tick box "Verify" next to each call to allow you to choose to only identify certain numbers. Any entry that doesn't have the tick box ticked, will not be updated.

How can I trace if the number that I dialed had been Identified already?
  • You need to copy the number that appears on your TNG or TES report.
  • Login to TES
  • Go to the TES Phone book screen.
  • Paste the number in the Search box
  • Click the SEARCH button.
If the number has been updated to the number database, it will show you the number otherwise it will not show any results.

The Results.
NUMBER: This contains the number that was dialed.
DESTINATION:The destination that the user entered when they identified the number will be visible here. You will notice that if your access allows editing of phone book entries, the DESTINATION can be changed in the edit box and the changes applied. Also note that the default destination is the value that was received from TNG and the default value that TNG displays is the Telecoms provider areas/exchanges.
BUSSINESSCALL:This tick box indicates if the call was a business number or a private number.
GROUP:This is used as an additional value for descriptions and can be used for additional reporting. (E.G. SALES Calls or SUPPLIERS)
ACCOUNT CODE:Can be used for additional info and for reporting.
LAST MODIFIED: When the number was last updated to on the Numbers database.
VERIFIED:If the number has been Identified by a user, the VERIFIED column will have a value of TRUE. Number that has been VERIFIED, will not generate new Number Identification emails.
LAST USER:The user that identified the number
DELETE:If you want to delete the entry, tick the DELETE box at the end of the row and click APPLY. Once the number has been deleted, the next person that calls the number, will receive an Number Identification email.

TNG version 1.0.0.49:

The verification tick has now been replaced with having to enter a 'Destination',
else that entry will be skipped and not updated when you click on 'APPLY'.

In earlier versions all calls was marked PRIVATE by default.

In the newer versions you can set it to be by default either PRIVATE or BUSINESS:

Login into TES:
TES-Admin-Home.PNG


Select 'Company Settings':
TES-Admin-Company.PNG

NOTE: Tick for Bussiness, untick for Private.

To allow NUMBER IDENTIFICATION, you need to tick the number identification option and click APPLY on the right-hand of the screen.

This will:
  1. now give you the number identification menu option when logged in as a user and
  2. also send number identification e-mails.

For internal use: TES: Disable Number Identification e-mails
