Overview:

The budget information is only stored until re-set budget
is used. There are no budget history. You must print all
your budget reports at the end of your budget period. Once the
reset is done, then the new budget information is stored and
the previous budget is cleared.

Your calls needs to be imported into TOPAZ again. Therefor the
calls in the TRAN file must be removed, since duplicates are not
imported. Please take care if you changed the filters. If the call
durations has been changed, it will register as a new call and
be imported again, causing duplicate calls in TOPAZ.

You can remove all calls from TOPAZ and importing the data
again per budget period or do a purge prior to and only import
your budget period.

Procedure:

Clear Budget in TOPAZ
Close TOPAZ.
Make a backup of your Datatex folder.
Remove call data:
Purge call data prior to date:
SETUP -> PROPERTIES -> TRANSACTIONS -> Purge Prior to.
OR load a blank tran file. Please note this
will clear ALL your call data up to date!
Available:
The TOPAZ CD in the EXTRA folder.Open TOPAZ.
Click on the "Timer On" button, it will now display
"Timer Off". This will ensure that todays data is not
loaded into TOPAZ.
Setup the correct budget for the various users for
the budget period.
Reset the budget for the beginning of the budget period.


Creating pip files for the different budget periods:

To get the correct information for our Budget listing, we
need to reset the budget, then load only the calls for that
budget period, print the budget listings and then reset the
budget for the next budget period.

Therefore we need to group the calls together by budget period.

The pip files already loaded into TOPAZ is moved to the folder
"C:\Program Files\Datatex\topaz\oldpabxpip". The file name is
a hex value and the extension is pip.

If you have more than one budget period that must be re-costed,
for each budget period, you need to do the following:

Sort the pip files by modify date.
Create a folder for each budget period.
In "C:\Program Files\Datatex\topaz\oldpabxpip", sort the
files by modify date.
Select the files with modify date in your time period and
move them to the folder you created for that budget period.
Make sure that the content of the file is for the budget
period. You might have to split some of the files, since they
could have data from two different budget periods.

The pip files is text files, you can cut part of the file and
copy it into a new file with pip as file extension.

Format is as Follows:

Date|Time|Ext|Number|IO|Account|Hour|Min|Seconds|Line|Action|Pulses|RingTime|Reference|DID|

Importing the calls for your budget period:

Make sure that your budget has been reset and that your calls
has been removed.

In TOPAZ -> SETUP -> PROPERTIES -> PABX -> Import Now.
Change the import path to "C:\Program Files\Datatex\topaz\oldpabxpip".
Select the folder for the budget period you want to import.
Once in the folder, select all files and click on "OPEN".
Once all the calls for your budget period has been imported,
go to REPORTS -> STANDARDS -> BUDGET LISTING and print the report.
After the report has been printed,
before importing the next budget period, do the reset budget.
SETUP -> PROPERTIES -> FILTERS & DEFAULTS -> Budget Enable, "Reset All".

For each budget period repeat from step 2.

Once you have done all your budget periods, please click on the
"Timer Off" button.
