General: The PABX3 receives the Call Data via the com port from the PABX Unit.
PABX3 writes out the rawdata file (if set to create rawdata file) and
the pabx.pip, which TOPAZ will import to create the .DB files.
There are a couple of ways that the backup can be done:
Backup of Call Data:
1. PIP file folder
2. Rawdata files
Full Backup of all DB files:
3. Full folder backup.

1. PIP Files:
The Topaz folder "C:\Program files\Datatex\Topaz\OldPabxPip\",
contains a list of .PIP files. Each of the files contains the calls
for a certain period of time. If these files are sorted by date and
time, the files for a date range can be selected, copied or
archived (Zipped). These files can be imported into a blank Topaz to
reproduce all the calls and cost them. These files can also be used
if calls has to be re-processed into the live Topaz.
2. Rawdata files
These files are "C:\Program files\Datatex\Pabx3\Rawdata\RawYYYYMM.TXT".
The file contains the data that the PABX has send out. It can be
re-processed via the PABX3 interface to reproduce all the PIP file.
3. Full Folder:
The default location for the Topaz folder is: "C:\Program files\datatex\Topaz"
This folder contains all the data that Topaz uses, the program and PIP files.
The shortcut that starts the Live Topaz up, points to the "\data" folder.
By copying this folder to another location on the hard drive, a new shortcut
can be created and pointed to the new folder. This will then function as a backup
Topaz. The old data can then be purged from the Live Topaz, to ensure that it runs
smoother and faster.
Step 1
Copy the Topaz Folder to a new location on the hard drive. e.g.
"C:\Backup\200309\Topaz" (For Topaz 2003 September)
Step 2
Create a new shortcut from the "C:\Backup\200309\topaz\Topaz.exe" and call it
"Topaz 2003-09".
Right click on this shortcut and go to the Target. Change the target
to read as following:
"C:\Backup\200309\topaz\Topaz.exe" "C:\Backup\200309\data" CLIENT
This target (with CLIENT as parameter) will start a Topaz that points to the data
in the backup folder. It will also be in Client Mode, meaning it will not try and
load pip files, automatically print reports or send network messages. But you will
be able to run any normal report.
Start this Topaz up and check that all the data is available and
that you can pull the reports needed. Once this is working you can proceed to
the next step.
Master - Client Setup: If you are using Topaz with the Client facilities, then the
shortcuts that are created, should be using the network locations of Topaz and
not the local file locations. The backup folder should be shared.
The local path of C:\Backup\200309\topaz will then have to be changed in the
shortcut to \\YourComputerName\200309\Topaz\...
This will ensure that you can use the same shortcut over the network.
Step 3
Open the Live Topaz. Login with Admin.
Click on Setup -> Properties -> Transactions. On this screen you can remove the
old calls that you no longer need in this Topaz. Click on the "Purge Prior To"
button and select the date up to where you want to purge. All calls before and
including the date will be removed from the database.
At this point you will have two Topaz Shortcuts, one for the Live Topaz and one
for the Backed-up one. You can repeat these steps every month or every couple of
months depending on what time periods you want to store per backup.
