Overview:
You need to match the Telkom line to the TOPAZ line. The line
number TOPAZ uses comes from the PABX unit. This line relates to
the telephone number used for that line number in TOPAZ.
On the TELKOM bill there is a "Usage" section.
Under "Calls for service no" it lists the sub totals for each line.
TOPAZ Data setup:
In TOPAZ under DATA -> Lookups -> Lines, you can enter a
description. Enter the Telkom telephone number next to the line
number that your PABX unit gives off for that telephone number.
Please remember to do a "Update TRX File...", to update the
TRAN file with Line Description changes made.
TOPAZ Report setup:
Now we can setup a TOPAZ report to match the Telkom report.
Remember that all TOPAZ calls include VAT.
Setup a report in TOPAZ by telephone number between dates:
To create a new report, click on REPORTS > CUSTOM REPORTS
Click on the "+", now enter your report heading under Description,
example Calls by Telkom phone numbers.
Report options : tick "summary"
Select records : Between dates
Summary Report Format : Call Category
Order by : Group
Group by : LineDescription
Maximum Records : 0
Field Selection : leave blank
Only Select These : Select All_Branch_
Select All_Departments_
Select All_Sections_
Between Dates : Select From Date
Select To Date
This report will list all the line descriptions under the "description" column.
You can now match the call cost under each line to the Telkom call
cost for that "service no". This can help you see where the billing
difference is.
Also use the above report to check if TOPAZ does not bill more
telephone lines than your Telkom bill. Change the group by
"linedescription" to "line". This report will list all the lines
that TOPAZ reads in. Make sure that there are no more telephone
lines picked up by TOPAZ, that is what your Telkom bill is for.
Tracing the cost difference:
If you want to exclude certain calls, for example calls on
cell routers:
Field Selection : select "Calltype"
then "like",
then "CELLULAR".
This will help you pick up, for example problems with the router
overflow setup. If you pick up any calltypes as CELLULAR, then
calls were costed as a Telkom cellular call, and not as cellular
calls routed through the router lines.
If you picked up the "problem" line. Setup a detailed report to see
all calls.

If there are any "CELLULAR" CallType:
then the router hardware setup allowed a cellular call on
the Telkom line or
the routing table in TOPAZ did not route that call correctly,
for example you did not add all the cellular prefixes for the router
that you are using. These calls will then be picked up as a
Telkom cellular call.
